Privacy Policy
Overview
Herein are procedures for the collection, use, and disclosure of your Information through Botcopy services, websites, and applications. We receive data about you / your company / your users from your direct use of the Services and third-party integrations. The information we collect includes message data and related content, application data, and user data, including some Personal Information. By using our Services, you are consenting to the collection, storage, transfer, manipulation, and analysis of your information and, in some instances, disclosure and sharing of this information as described in this Privacy Policy. We will not use, share, or sell your information with or to anyone except as described in this privacy policy. We use your Personal Information for providing and improving our Services.
Information We Collect
We may ask you to provide us, or third parties may provide us with certain Personal Information that can be used to contact or identify you. Personal information may include, but is not limited to, your name, postal address, email address, and employer. We collect Personal Information to provide the Services, identify and communicate with you about the Services, responding to your requests/inquiries, servicing your purchase orders, improving our Services, and communicating with you about our Services, discounts, and promotions. We make every commercially reasonable effort to safeguard this information, keeping such information in secure, offsite, storage facilities around the world that share our respect for your information and international privacy laws.
Personal Information
By providing your email address either directly, or indirectly via a Third Party, you are providing us with a minimum identity requirement needed to authenticate you so you can access the Services. You are also granting us a reliable method to communicate with you, including any interruptions of our Services that may affect you, and inform you of upgrades to the Services, including, but not limited to, updates to this Privacy Statement. Every email communication you receive from us includes the ability to opt-out and stop receiving further email from us, in strict accordance with international law. While we may collect Personal Information that can identify you by your name and email address, we do not automatically collect any information that will identify you by gender, or birthday. You will only be required to provide your address, zip code, or related Personal Information for us to process a payment for your continuing use of our Services, providing you opt into paid Services.
Application Data
Application data is collected from Third Parties enabling us to deliver some or all of our Services. We also provide you with code you can integrate into your own applications and the code we provide you with includes credentials (API key and/or a Client key for each of your applications) that uniquely identifies you and enables us to send and receive application data necessary for the delivery of Services.
Message Data and Content
We, by default, do not collect or store any of your message histories. Transcript and message activity can be found with your NLU provider. Only by request, can open your message history endpoint to collect and help you manage incoming and outgoing message data. Message data may include text, graphics, photos, audio, video, and may consist of specific attributes that identify your users. We transcribe the data we collect to help you view, analyze, learn from (as humans, or using artificial intelligence), and respond to such data.
IP Address and Cookies
We may receive information from your web browser when you use our Web Services, including your IP address. We collect and store IP address information, and that Information public. It is used for logging and network management. We may deliver cookies to your computer automatically through your web browser when you access our website. Your browser stores cookies which enable our servers to recognize your web browser and tailor our user experience and Services to you automatically. Our cookies do not by themselves contain Personal Information, and we do not combine the general information through cookies with other Personal Information to tell us who you are.
Information Storage and Management
All connections to our website, our application, and any integrations into Third Parties are protected by TLS 1.2. Further, we have a Data Protection Officer who monitors the flow of data regularly and receives notifications 24 hours/day when their attention is needed. All of the information that we collect and send is stored in GDPR compliant storage and management facilities.
Google Cloud Platform
We use Google Cloud Platform for application storage and hosting. All of our APIs and digital services are securely hosted in Google Cloud's regions, leveraging services such as Google Cloud Platform's Cloud Run and Cloud Storage for efficient and secure service delivery.
Mongo Atlas
We use Mongo Atlas for database storage and management.
Google Cloud DNS and Cloud CDN
We use Google Cloud DNS and Cloud CDN for DNS management, traffic optimization, and intrusion monitoring.
Google Authentication
We use Google to authenticate the use of our Services. Google will share your email address with other Google departments, including the email addresses of others on your team and Botcopy information.
Dialogflow ES and Dialogflow CX
If you connect a Dialogflow account (A Google Cloud service) to Botcopy, we read and write application data directly from Dialogflow so you can train artificial intelligence and we can deliver your Dialogflow messages to your users through conversational experiences you create. You will be required to authenticate with Google using OAuth 2.0 and Google will maintain your access rights in conjunction with our Services. We also use Google for analytics.
Braintree and Stripe
We use Braintree or Stripe as a payment processor and to collect payment from you regularly for the use of certain paid Services we provide. Your billing information is securely stored with Braintree or Stripe, and your payment is processed on a monthly billing basis as long as you remain subscribed to one of our paid Services.
Twilio SendGrid
We use Twilio SendGrid for email broadcasting and marketing and general contact management.
Dashbot
When enabled, we use Dashbot as an analytic tracking tool for all of your conversations. Dashbot is an optional integration.
Janis
The recommended Live Chat platform is Botcopy Live Chat, but Janis is an optional human handover integration. When enabled, we use Janis as a live chat feature for human take over. If you choose to use Janis, the live chat transcripts will be available on their platform.
Circumstantial Sharing of Your Information
We reserve the right to access, read, preserve, and disclose any information as reasonably necessary to (i) satisfy any applicable law, regulation, legal process or governmental request, (ii) enforce these Terms of Service, including investigation of potential violations thereof, (iii) detect, prevent, or otherwise address fraud, security or technical issues, or (iv) protect our rights, property or safety and those of our users and the public. This includes exchanging InformationInformation organizations for fraud protection and spam/malware prevention. You will be notified when your Personal Information may be shared in this capacity. Notwithstanding, we will never share any personally identifiable Information publicly without your written consent to so in strict accordance with our Terms of Service, which can be found at https://botcopy.com/privacy.
Access and Deleting Information
Cookies: You can access and delete cookies through your web browser settings. Most browsers have an option to disable cookies, which will prevent your browser from accepting new cookies, as well as (depending on the sophistication of your browser software) allow you to decide on acceptance of each new cookie in a variety of ways. We strongly recommend that you keep cookies active because they enable us to deliver reliable Services.
Services Account: You can request a full deletion of your account in connection with our Services, including any Personal Information that we have collected in connection with your use of our Services. By means of a dated and signed written request (email is acceptable to hello@botcopy.com), you can, after giving proof of your identity and free of charge, request the correction of any particulars that are incorrect, incomplete or irrelevant, or the removal of your Information systems, servers, and the Services in general. Notwithstanding, limited Information is maintained by us indefinitely, even if you terminate your access and/or use of the Services, but we would only use this Information as a statistical measure, not in a manner that would identify you personally. This enables us to maintain data integrity in our reporting in order to analyze and improve the delivery of our Services.
Privacy Policy Modification Procedures
We may amend this Privacy Policy from time to time and will send updates by request. Any user of our Services is bound by any changes to the Privacy Policy when he or she uses the Services after such changes have been first posted and regardless of whether we send or you receive any notification.
Policy Coverage
This Privacy Policy covers all residents of countries worldwide who access and use any of our Services. This Privacy Policy does not apply to the practices of Third Parties that we do not own, or control, or to individuals that we do not control, or employ. We facilitate access only to those Third Party Services that share our respect for your privacy and international laws. Yet, we cannot take responsibility for the privacy policies of Third Parties. We encourage you to carefully review the privacy policies of any Third Party stated in this policy and in connection with your use of our Services. Further, while we make every commercially reasonable effort to protect your Information guarantee or warrant that such techniques will 100% prevent unauthorized access to Information that we store, Personal Information, or otherwise.

This Privacy Policy has been updated and is effective as of March 11, 2024. By continuing to use our Services from this date forward, you accept the changes to our Privacy Policy and Terms of Service.
